Start where the work gets stuck.

A work order changes hands, but nobody owns the next call. An invoice needs approval, but the records are scattered. A new hire asks the same question three times and gets three different answers.

We can help map the workflow, clarify responsibility, document the steps, and make the exceptions visible.

Build the system
behind the steps.

  • Discover and organize: understand how work actually moves and what needs to change.
  • Clarify decisions: define responsibilities, approval rules, handoffs, and escalation paths.
  • Handle exceptions: document the situations where the usual next step does not apply.
  • Make it usable: develop the operating procedures, communication templates, and operational standards the agreed scope requires.
  • Adapt to your business: use our foundational operating structures to accelerate customization around your workflows, contacts, rules, state requirements, exceptions, and preferences.

You approve your company policies and authority limits. The purpose is a working operational system your team can use.

What that depth
looks like.

Our Maintenance Coordination framework covers triage, troubleshooting, owner communication, vendor assignment, scheduling, completion verification, invoice handling, common scenarios, templates, and escalation.

A request being logged is only the beginning. The procedure needs to explain who decides, who follows up, what changes when the usual step fails, and how the work is closed.

This illustrates the depth a workflow may need. It does not mean every project includes the entire maintenance framework.

Discuss this scope

Built around the operation.

Scope is based on the operational problem and breadth of the business area, not a fixed number of SOP documents or departments. The value is usable operational structure, customization, organization, and knowledge your team can transfer.

The final scope considers operational breadth, workflow complexity, discovery, customization, decision logic, exception handling, compliance considerations, templates and scripts, handoffs and escalation paths, and how much of an existing Nine to Five Pros framework can appropriately be adapted.

Make the knowledge transferable.

Usable documentation helps your existing team and future hires work from the same instructions. If you also need recurring execution, explore the Dedicated Operations Team.

Straight answers

Before we get to work.

Is this a monthly service?
No. Operations & SOP Build is a one-time project service. The scope and project price are established around the work.
Can you help without supplying a full-time person?
Yes. The project can support your existing team. Purchasing dedicated operations staffing is not required.
Do we need existing SOPs?
No. Existing documents are useful, but discovery can begin with the people who know the work. Your participation is needed to establish how the operation and its decisions should work.
How do we choose a scope?
Start with the operational problem. Focused operational area: starting at $999. Two connected operational areas: starting at $1,699. Three connected operational areas: starting at $2,399. Essential Operations System: starting at $3,000. Company Operations System: starting at $6,000. Complex company-wide engagements may exceed $6,000. We agree scope around operational breadth and complexity, not SOP or department counts.
Does the SOP count determine the price?
No. Scope follows the operational problem and breadth of the business area, not a fixed document count. A consequential procedure may matter more than a long document. The project creates usable responsibilities, decision rules, handoffs, and operational structure.
